Terms of Service

Plain language first: This is an operating system for your shop. You use it to run the work. We charge a subscription. You own your data. We don't sell it or look at it. If something isn't working, contact us and we'll fix it.

1. Who We Are

Covenant Works Operating System ("the Service") is a product of Covenant Works LLC, owned and operated by John Sydnor, Harlem, Georgia.

2. The Service

The Service is a web-based operating system for shops — makers, laser and craft businesses, and solo service operators (electricians, consultants, photographers, and similar trades). It is not a “business suite.” There are two tracks. The workspace follows your plan; there is no manual app-mode toggle.

Paid plans also include Stripe Connect invoicing, bank import, receipts, tax, profit and loss, accounting, products, grants/funding trackers, and Team seats as described below. Feature availability depends on your plan. Some tabs require a verified email address.

By creating an account and using the Service, you agree to these Terms. If you do not agree, do not use the Service.

3. Subscriptions and Payment

Public paid plans open September 1, 2026. The storefront is:

Beta Tester and Advisor access are invite-only grants with full paid access. They are not public storefront plans. Legacy plan names (for example older “Premium” or “Pro” labels) map to the current Maker or Business paid access and do not create extra SKUs.

Payments are processed by Stripe, Inc. By subscribing, you also agree to Stripe's Terms of Service. We do not store your payment card information.

Monthly subscriptions renew automatically each month. Founding Pass renews annually at the locked yearly rate while you remain subscribed. You may cancel at any time through the in-app subscription management portal. Cancellation at period end takes effect at the end of the current billing period — you keep paid access until then. Immediate cancel drops paid access right away.

Refunds: Monthly plans — full refund within 7 days of the first charge. Founding Pass — full refund within 30 days of the first charge. After those windows, we do not refund unused time in a billing period except at our discretion. Email support@covenantworks.app.

We reserve the right to change public pricing with 30 days' notice to your registered email address. A Founding Pass rate lock, while the subscription stays active, is the exception described above.

4. Your Account and Team

You are responsible for maintaining the security of your account credentials (password, passkey, and any two-factor method you enable). You must be at least 18 years old to create an account. One login per person — do not share passwords.

A business may have multiple people, each with their own login and a role (owner, admin, member, or viewer). Invite teammates from My Business → Team. Sharing a single password among staff is not allowed; use Team seats instead.

The owner can transfer ownership. Financial tabs (profit and loss, tax, banking, and similar) can be hidden from members unless the owner turns that on. We may suspend or terminate accounts that violate these Terms, attempt to abuse the Service, or engage in fraudulent activity.

5. Your Data

Your business data — jobs, customers, invoices, inventory, expenses, and all related records — is stored in our Firebase infrastructure (Google Cloud), in a dedicated space secured by per-business access rules. You and the people you invite to that business can read or write according to their role. Covenant Works LLC does not access your business records in the normal course of operating the Service.

You own your data. You can export it at any time using the in-app Export feature. You can delete your account yourself in Account & Security. Upon account closure (in-app or by written request), we delete your account data, your business data, and our backups of it within 30 days. Deletion is permanent.

We collect account-level information (your email address, subscription status, and aggregate usage statistics) to operate and improve the Service. See our Privacy Policy for full details, including when we will (and will not) produce records in response to legal process.

We do not volunteer business contents or search across customers’ shops. Lawful demands must identify the account (email and/or our user or business id), a time window, and specific record categories. Informal requests and blanket “any and all records” demands are refused. Subscriber identity and business contents are different: contents require a warrant or court order as described in the Privacy Policy. We still must comply with a valid warrant or court order for records we actually store.

6. AI Features

The Service includes AI-powered features powered by Anthropic's Claude API (and, for some design work, Recraft). When you use these features, your input (prompts, product descriptions, questions, or images you submit) is sent to those providers to generate a response. Their use of this data is governed by their own privacy policies: Anthropic and Recraft.

Product price search (Inventory → Find) sends your search words to SerpAPI, which returns live Google Shopping results. That is listing data, not an AI price guess. SerpAPI's privacy policy: SerpAPI.

AI use is metered by plan (daily per-user caps and a monthly spend ceiling per business). If you hit a cap, the feature pauses or uses a cheaper model until the period resets. Upgrade or wait; do not attempt to circumvent metering.

AI-generated content — laser settings, pricing suggestions, listing copy, tax estimates, captions, and similar — is provided for informational purposes only. Always verify independently before relying on it for business or tax decisions. We are not liable for errors in AI-generated output. Machine settings in particular are starting points: run a test on scrap before production.

7. Acceptable Use

You agree not to:

Restricted data: The Service runs on commercial cloud infrastructure intended for general business use and is not configured or authorized to host data subject to ITAR (International Traffic in Arms Regulations), Controlled Unclassified Information (CUI), or other defense/government procurement security requirements. Do not enter, upload, or store any such data in the Service, regardless of your location or industry.

8. Availability and Changes

We aim for high availability but do not guarantee uninterrupted service. The Service may be temporarily unavailable due to maintenance, updates, or circumstances outside our control. We are not liable for losses resulting from downtime.

We may add, change, or remove features. Invite-only beta and advisor access may continue after public paid launch. Always keep your own backups using the Export feature.

9. Intellectual Property

The Service, including its design, code, and content, is owned by Covenant Works LLC and protected by applicable intellectual property laws. You are granted a limited, non-exclusive license to use the Service for your personal business purposes only.

Content you create using the Service (your job records, invoices, listings) remains yours.

10. Disclaimer of Warranties

The Service is provided "as is" without warranty of any kind. We make no warranty that the Service will be error-free, that AI outputs will be accurate, or that data will never be lost. Always maintain your own backups using the Export feature.

11. Limitation of Liability

To the maximum extent permitted by law, Covenant Works LLC shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service. Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.

12. Connected Payment Accounts (Stripe Connect)

If you connect a Stripe account to accept payments from your own customers through the Service's invoicing tools, those payments are processed through our platform Stripe account and the proceeds are transferred to your connected account. By enabling this feature, you agree that:

This is separate from the subscription billing described in Section 3 — it applies only if you choose to connect a Stripe account to accept payments from your own customers.

13. Changes to These Terms

We may update these Terms from time to time. We will notify you by email or in-app notification before material changes take effect. Continued use of the Service after changes constitutes acceptance.

14. Governing Law

These Terms are governed by the laws of the State of Georgia, United States. Any disputes shall be resolved in the courts of Richmond County, Georgia.
